Step-by-step application for Erasmus students

1. STEP: Eligibility

You should be a full-time student at your home university.  There should be an Erasmus Bilateral Agreement between your home university and Trakya University. You should be nominated by your university.

 

2. STEP: Nomination

Make sure that your University has informed the Erasmus Office of Trakya University about your Erasmus Exchange in Edirne before you have registered to Online Erasmus Application System.

3. STEP: Application

Please complete the online form (http://dis.trakya.edu.tr/apps/eos/web) in order to be an Erasmus Student at Trakya University. After your registration has been successfully made, the system will produce an application number for you. Your registration is made at the moment number is produced. Your information isn’t recorded in any circumstances before this. You can learn about your application process with this registration number.

4. STEP: Submit your documents

After your application has been received, print the application form in two copies and send them to Trakya University Erasmus Office by regular post with the attachment of the following documents:

1-Transcript; Please obtain your recent transcript in English

2-Learning Agreement; You should prepare your learning agreement, which describes the programme of your study abroad. It should be prepared in three original copies and signed by your home university (http://dis.trakya.edu.tr/apps/eos/web/)

3-Accommodation Form ; As the accommodation facility in Trakya University is limited, it is not guaranteed to arrange you stay at Edirne before your application has been confirmed by T.U. Erasmus Office

4- 2 photos

5. STEP: Acceptance Letter

We will then send your home university an “Acceptance Letter” by e-mail and regular post. You may also need this document for your visa purposes.

ACCOMMODATION OPTIONS FOR ERASMUS STUDENTS

A.YURT-KUR DORMITORIES

These dormitories are run by the Credit and Accomodation Institution (YURT-KUR). Erasmus Office will make reservation for the students. Students share their rooms with 8 students and the room may change according to the availablity.

B. HOMESTAY WITH TRAKYA UNIVERSITY STUDENTS

The Erasmus Coordinatorship will arrange a flat with a Turkish student for our incoming students if they choose this option. Our university offers and recommends “homestay with students” as an accommodation facility. The procedures related to accommodation between host and guest students are carried out by the Erasmus Office and in the case of difficulties, the Erasmus Office directly intervenes. Rent collection is on the 1st of each month.

C. FOREIGN STUDENTS HOUSE 

 

There are limited rooms available in “foreign students house”: 1 single room, 1 room for 2 people, 2 rooms for 4 people and 1 room for 3 people. Therefore, we cannot guarantee availability. After all the applications are taken, a commission led by the Erasmus Institutional Coordinator will announce a list of students who will be placed in the Foreign Students House. If their first choices are not available, they will be placed in a different room of choice.

Erasmus students are accepted only for one semester. They must apply for a room and renew their registration at the end of each semester if they would like to prolong their stay. The accommodation fee is 5 Euros per day. 

 

ARRIVAL

Please inform us about your arrival dates before 1 month, contact with your buddy who you will be informed later (after you are nominated to be Erasmus Incoming Student to Trakya University) by Erasmus Office and visit the Erasmus Office after you have arrived to Edirne.

COURSE REGISTRATION

The course registration will take place in the first week of the semester.  Use the Changes Page of the Learning Agreement if you need to make changes to your course selection. The host institution will provide you with a Student Identity Card.

ACADEMIC ADVISOR

Every exchange student is assigned an academic advisor once the registration is completed. The advisor is responsible for providing academic guidance to an incoming student. He/she monitors the student’s academic development during the exchange period at Trakya University. Before coming, you will be informed about your academic advisor at Trakya University by Erasmus Office.

FEES AND EXPENSES

You aren’t required to pay any tuition fee at Trakya University. However, you have to pay for your own living expenses such as accommodation, travel, educational materials, insurance etc. Any grant or loan you have received at your home institution may not be discontinued, interrupted or reduced while you are away studying at Trakya University.

VISA

Before you enter the country, you have to be required to get a student visa. Please contact the Turkish Consulate in your country and apply for a Student Visa to Turkey once you have received your Acceptance Letter.

INSURANCE

All incoming students have to take out a Travel Insurance which includes their stay at abroad. This Travel Insurance should refund the costs of health care service at abroad. After students have come to the host University, they bring this policy to Erasmus Office.

RESIDENCE PERMIT

All international students in Turkey have to register with the Foreign National departments of the Police Headquarters in Trakya within a month of entering Turkey. After you have come to Trakya University, Erasmus Office will inform this department with an official letter about your coming. In order to get residence permit, you need to bring 5 photos, photocopy of your passport and 149 TL (it may change) with you.

BEFORE LEAVING

Before leaving, you need to visit the Departmental Erasmus Coordinator and Erasmus Office to get yourConfirmation of Exchange Form.

FIRST AID IN EDIRNE - BUDDY AID

The International Relations Office buddy system is designed to assist newly arrived Erasmus students. The new students are matched up with their buddies. These are students who are already familiar with the university and the city and who can offer support on different topics regarding studying and daily life. Many things are easier when you are not alone. Each buddy is based on the needs and possibilities of the respective partner. Participants can also plan free time activities together.
